Receptionist / Admin Assistant

We are seeking a professional and organised Receptionist / Administrative Assistant to join our team. This role is the first point of contact for visitors and clients and will provide essential administrative support to ensure the smooth running of the office. The successful candidate will also assist with office support administration tasks.

This is a full time role, 37.5 hours per week based in our Edinburgh office.

Role Overview

We are seeking a professional and organised Receptionist / Administrative Assistant to join our team. This role is the first point of contact for visitors and clients and will provide essential administrative support to ensure the smooth running of the office. The successful candidate will also assist with office support administration tasks.

This is a full time role, 37.5 hours per week based in our Edinburgh office.

Pay: £24k to £27k per year based on experience.

Key Responsibilities

Reception & Office Support

  • Greet and welcome visitors, clients, and staff in a professional manner.
  • Answer and direct phone calls, take messages, and manage general enquiries.
  • Manage incoming and outgoing post and deliveries.
  • Maintain the reception area and meeting rooms to a professional standard.
  • Support the coordination of meetings, including room bookings and refreshments.
  • Assisting with checking building compliance and repair matters as part of the IMS team.

Administration

  • Provide general administrative support to the directors and wider team.
  • Prepare and format documents, letters, and reports.
  • Manage office supplies and liaise with suppliers.
  • Assist with filing, archiving, and maintaining office records.
  • Key role in assisting in the management of our project management database, and input and update of data.
  • Support finance team with processing invoices and expense claims.

Skills & Attributes

  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with digital systems.
  • Previous use of Xero an advantage.
  • Attention to detail and accuracy.
  • Positive, proactive, and professional manner.

Experience & Qualifications

  • Previous experience in a reception or administrative role preferred.
  • Good standard of general education (e.g. National 5s, Highers, GCSEs or equivalent).  
  • Further qualifications in admin, HR or book keeping desirable, but not essential.
